Q. How is everything connected in Beesy?

A. Beesy was built around a powerful and comprehensive workflow, allowing all professionals to manage their daily activities and those of their team from the notes taken during business meetings.

How does it work:
1. Goals, which are the largest containers on Beesy. Goals can contain all the concepts defined below. You can create them in the “Projects tab” (An example of a goal: increase sales this quarter).

2. Projects are a part of the goals, that you want to track in order to achieve the goal. You can assign your projects to a goal and manage several goals within Beesy. You can create them in the “Projects tab” (ex: Sales Training, Marketing Tools Development, Create a Website, etc.)

3. Notes, is the container in which you take your notes during meetings, where you structure your notes with actions, sort them by agenda topics, and assign a participant to an action. These features are available within the “Notes tab”.

  • 3.a Actions, by adding Actions items as you type, you will naturally structure your notes and Beesy will be able to automatically generate To-Do lists for you, with no extra work. Then you may be able to browse actions by project and people. Beesy provides several kind of actions: Task, Event, Photo, Draw, Audio, Web, Call. You can sort your actions by type in the “Actions tab” as well.
  • 3.b Topics, which compose the agenda of your note. They can be prepared in advance for example in the agenda that you created or that you have received.
  • 3.c Participants, who are the people who attended the meeting, and to whom you can assign tasks. How to add participant. You can browse actions by people in the “People tab”.

Q. How to back-up Beesy?

A. Read this tip to help you save your data. iTunes can automatically save Beesy’s data in case you break, loose or have been stolen your iPad. It works as well if you upgrade your existing iPad to a new one.

Q. How to reorder actions in Beesy?

A. In the “Actions” tab, by tapping the Edit button in the top left toolbar. You can then reorder action types to suit your needs. By dragging the move symbol at the right of the cell, you will set the exact order in which you want to see your actions.
Inside a note, you can use drag&drop with 2 fingers to actually move one action to another spot within the note.
Q. How to adjust an action type to suit my needs ?
A. To define the action type settings, go to the Actions tab > left column, click on the left icon of an action type.
Each action template covers 10 parameters: text wich automatically appears in the cell when adding an action.

  • Default text: text wich automatically appears in the cell during the seizure.
  • Follow-up: follow or not the actions on the Actions / People / Projects tab.
  • Important: position in the dashboard matrice (important / not important).
  • Urgent: position in the dashboard matrice (urgent / not urgent).
  • Private : show or hide an action on the meeting minutes.
  • Hide: show or hide an action in the action bar.
  • Reminders: activate action synchronisation with Reminders (iCloud, Exchange, Yahoo).
  • Priority: priority level for an action. Allows to filter by priority in Actions / People / Projects tab.
  • Duration: duration of an action (days)
  • Preparation : preparation of an action (days). Those two parameters define how Beesy calculate the due date when adding a new action.

Q. How to delete in Beesy?

A. Beesy uses a standard Apple feature, actually used in their app: if you left or right swipe on a item in a view that display rows of information, a delete button will appear to actually suppress this item. It works the same in Beesy, left or right swipe anything you want to delete: meeting, topic, action, project, a delete button will appear and allow you to delete it.

Q. How to Drag & Drop in Beesy?

A. Use the Drag & Drop allows to Beesy users to reorganize and structure their notes. The handling is really simple. Simply use your two fingers within the application.

Q. What is the default owner in Beesy?

A. The default owner in Beesy is the owner of the app. It is the one who will be assigned actions by default during your notes. You can change this person in the setting tab > Default owner.

Q. How to quickly assign participants to actions?

A. – Use the Drag & Drop consistently throughout : inside a note, you can Drag & Drop to assign a participant on to a task. If you have a lot of contacts in your contact list, this is a useful shortcut as participants are more likely to be the owner of an action inside a meeting. Otherwise when you add an action, you can tap on the small icon next to the Due Date and assign a participant from your complete Beesy contact list.

Q. Why everything is not showing in the Dashboard matrix?

A. The Dashboard matrix is only showing you actions with a due date (task, call), not actions like comments, drawings etc. Moreover, the Dashboard only displays the actions assigned to the current default owner.

Q. How can I search all my actions?

A. – If you want to search among all your actions database, this is now available in the “Settings” tab then “All your actions”: you can browse, search or export all your actions captured during your various meetings.

Q. How do I suppress the default words that Beesy automatically adds to my actions?

A. Beesy automatically adds words for every actions (example : Do for Task action). If you want to change this automatic word, go to the “Actions Tab” and tap on the action type icon to edit its settings. Then you just have to modify the default title property.

Q. Why some project do not show in my Project tab?

A. – First, a goal will only appear on your “Projects” tab only if you have assigned a project to it. Beesy will automatically link all tasks associated with a note or a topic to the selected project.
Sometimes, you can create projects and forget to assign a goal. Beesy will automatically assign those project to a default goal. It can be set to hidden in your application settings and thus those project won’t show up in your project list.
This method will enable you to easily follow-up by project on actions taken during meetings.

Q. How can I sub filter actions for a given view?

A. – Beesy allows you to further filter your actions by « notes, Topic, Project & People », so you get an overview of what was decided in a meeting from one of those tabs: « Actions », « People » and « Projects ».
This filter button is available using the toolbar in the upper-right corner of your app.

Q. Why the People / Project view is not showing every action?

A. Project / People views only show actions which you decided to “Follow-up”. By default, Comment, Draw, Map, Question, Idea, Customer, and Contact are not included in the list of actions to track. To change this setting, tap on the action icon and set the “Follow-up” switch to YES. This action now appears in the project or people view.

Tips n°1 : Filter for better analysis

When you need a better understanding of what’s going on for a specific set of actions, you can easily sort your actions to suit your needs :

  • by People
  • by Notes
  • by Topic
  • by Project
  • by Priority

Simply tap the third icon in the upper right toolbar and select the desired filter.

Tips n°2 : Master your calendar

Beesy syncs with your iPad calendars, various meetings appear in this calendar tab in the Dashboard.
In case you were looking for an old meeting on your calendar, here’s a tips that you can easily and quickly return to the current date:

  • click on the area where it shows the current month (Here April 2013),
  • the “Today” button appears,
  • click on it and your calendar go directly to the current date, displaying at the same time your scheduled meetings.

Tips n°3 : Select your own action end date

When you create an action in Beesy that has an end date (the seeting “Follow” is enabled), you can check off as completed by clicking on the last icon.
By default, Beesy changes the action due date by assigning the current date, however, for the sake of accuracy, traceability and history, you can choose the action end date:

  • click and keep pressing the icon,
  • calendar appears,
  • chose the good end date.
